Travel Admin Checklist: 5 Small Things to Sort Before You Go

Travel rarely feels urgent until it suddenly is. One minute you’re half-looking at flights, the next you’re leaving in three days and digging through a drawer for your passport. The big bookings usually get done first. It’s the boring little logistics that are easiest to leave too late.

Here are five quick things worth sorting before you go.

1. Check Your Passport Properly

Don’t just make sure you’ve packed your passport. Check the expiry date properly. Some countries require at least six months left on it after your trip, and you may need a couple of blank pages too.

Also look at the passport itself. If it’s damaged, badly worn, or has loose pages, that can still cause issues.

If you need to renew it or update your photo, sort it sooner rather than later. You can even take a passport photo at home using a tool like 123passportphoto.com instead of going to a studio.

2. Double-check the visa rules

Don’t assume the rules are the same as last time. Entry requirements change, and a country that used to be visa-free for you might now need an e-visa or some kind of pre-approval.

Check what applies to your passport for the dates you’re actually travelling. If you need to submit documents, pay attention to the photo requirements too. Visa photos can be surprisingly picky, and small errors can slow things down.

3. Let your bank know you’re travelling

Fraud checks are useful until your card gets blocked while you’re abroad.

Most banks let you add a travel notice in the app, and it only takes a minute. While you’re in there, check that your card will work overseas and look at any cash withdrawal or spending limits too.

4. Sort your phone before you go

Don’t leave this until you arrive. Roaming can get expensive quickly, so decide in advance whether you’re using your usual plan, a local SIM, or an eSIM.

If you’re planning to swap SIMs, check that your phone is unlocked first. It also helps to download maps, transport apps, and any booking confirmations ahead of time, so you’re not dependent on airport Wi-Fi or mobile signal as soon as you land.

5. Keep copies of the important stuff

Losing your passport or other travel documents is stressful enough. It is worse if you do not have copies anywhere.

Before you go, save clear scans or photos of your passport, visa, insurance details, and tickets somewhere secure. Cloud storage is fine, and it is worth emailing yourself a copy too. A printed copy in a different bag can also help if your phone dies or goes missing.

One last thing

Most travel problems are not dramatic. They are usually the boring things you forgot to check before leaving: a passport that is too close to expiring, a card that gets blocked, missing paperwork.

They are usually quick to sort out, but much more annoying once you are already away. Do them early and you can focus on the trip instead of fixing admin.
